We are looking for a GENERAL LIABILITY CLAIMS COORDINATOR to provide functional and administrative support in our Risk Management department at the LEYE Corporate Office. This individual will provide direct support to the VP of the department. Our ideal candidate will have a warm and engaging personality along with the ability to interact courteously and directly with guests, associates at every level within the organization, insurance representatives, and legal counsel. 
This position is located at our Corporate Office on the north-side of Chicago (5419 N. Sheridan Road, 60640). Candidates will be required to train in the office 60% of the time; ultimately this position will be blended between the office and remote.
  • Manage guest related incident reports and claims, including fact gathering and evidence collection/management
  • Communicate with management teams on employee health, structural conditions, and other situations/elements that may affect the health and safety of guests and employees
  • Administration of general liability claims including documenting incidents and logging reports
  • Tracking/documenting claim activity throughout the life of a general liability claim
  • Communicate claim status with associates, supervisors, insurance reps, and attorneys
  • Managing claims that involve guest property
  • Screening food safety reports
  • Tracking liability and food safety trends
  • Providing assistance with discovery requests for litigated claims
  • Administration of third party sanitation audit program for restaurants which includes scheduling, logging, filing and distribution of food safety audits
  • Administrative support to the VP of the department
  • 2+ years of experience with general liability claims
  • Highly skilled in guest-focused customer service
  • Strong communication skills, both verbal and written
  • Exceptional skills with MS Office
  • Experience in providing administrative support
  • Ability to effectively multitask while under deadline in a fast-paced environment

Job Summary: Provide functional and administrative support in our Risk Management department at the LEYE Corporate Office. The General Liability Claims Coordinator will also provide direct support to the VP of the department.  
Essential Functions
  • Manage guest related incident reports and claims, investigating and gathering incident facts and evidence by communicating with managers and employees via email, phone and in person; prepare files and share and collect information on claim activity with insurance representatives, investigators and/or legal representatives; conduct regular status review on incident files and reconcile incident activity with LEYE customer service team and guests as appropriate
  • Communicate with management teams on employee health, structural conditions, and other situations/elements that may affect the health and safety of guests and employees.
  • Log incident reports upon receipt, review for complete information, create hard copy and digital files, distribute them to appropriate LEYE partners and managers and track incident activity and trends
  • Draft correspondence and prepare letters for review, signatures and mailing through USPS, FedEx, etc.
  • Generate weekly insurance closed claim report and supporting documentation.
  • Prioritize tasks based on availability information, deadlines, schedules, etc..
  • Assist with discovery in litigated claims including review of and information gathering for interrogatories and production requests.
  • Assist with scheduling activities for litigated claims, working with attorneys, insurance representatives and LEYE managers/employees to coordinate site visits, interviews, depositions, etc.
  • Acquire and maintain food safety sanitation manager certification (FSSMC).
  • Track, log and file Health Department sanitation inspection reports and action plans.
  • Coordinate third party sanitation audit program including tracking schedules, logging reports, and creating and distributing both hard copy and digital files.
  • Assist restaurants with maintaining appropriate sanitation supplies including signage, notices, forms, etc.
  • Coordinate safety audits including restaurant chair audits and safety audits conducted by insurance representatives.
  • Develop and maintain strong partner and manager relationships through effective communication including but not limited to prompt response to hiring needs and strong follow-through
  • Perform duties outside standard business hours on occasion as needed, including evenings and weekends
  • Travel overnight occasionally as needed
  • Safely and effectively use and operate all necessary tools and office equipment 
  • Effectively communicate in order to perform and follow job requirements in written and spoken direction
  • Multitask calmly and effectively in a busy, stressful environment 
  • Work in a confined, crowded space of variable light, noise and temperature levels
  • Ability to occasionally retrieve and distribute files or office supplies weighing up to 10 pounds
