Lettuce Entertain You Restaurants is seeking an IT Administrative Assistant to provide support to the IT team and our restaurants. Responsibilities will include (but are not limited to) screening calls and receiving/routing mail; coordinating/scheduling projects; independently preparing business correspondence, routine reports and memos; ordering and storing supplies; researching, analyzing and summarizing data; and compiling and maintaining extensive records.

 NOTE: This position requires up to 50% local Chicago travel. The IT Administrative Assistant will commute to multiple locations in the city/suburban Chicago area and must have flexible schedule to include occasional weekend on-call availability for special projects as needed.

 REQUIREMENTS:
  • 3 years of office experience including proficiency in MS Office suite (Word & Excel)
  • Skilled in verbal & written communication with strong knowledge of English grammar/punctuation
  • Ability to use personal initiative and work independently in the absence of supervision
  • Ability to type at least 50 wpm with accuracy
  • High School Diploma or GED equivalent 
  • Ability to commute using employee-provided vehicle to multiple locations in a timely manner, frequently transporting, lifting & loading equipment up to 50 lbs (NOTE: Approximately 50% travel to Chicago city/suburban locations and some out-of-state.)
Some college-level course work in business administration or computer science is preferred.

  • Prepare comprehensive reports, statistical charts, and correspondence including business letters and memos
  • Screen calls, receive/route mail, and respond to requests for information on procedures, systems, and precedents relating to assigned responsibilities
  • Research, analyze and summarize data
  • Ability to effectively communicate in order to perform and follow job requirements in written and spoken direction
  • Ability to multi-task calmly and effectively in a busy, stressful environment
  • Able to move and lift up to 10 pounds, frequently move and/or lift up to 25 pounds, and occasionally move and/or lift up to 50 pounds
  • Ability to stand and walk for an entire shift and move safely through all areas of the restaurants (which may include stairs, uneven or slick surfaces) as well as the IT and corporate offices
 Key Responsibilities and Duties
  • Compile and maintain complex and extensive records and prepare routine reports
  • Maintain accurate, detailed logs and records and research discrepancies 
  • Recommend improvements in work flow, procedures, and use of equipment and forms 
  • Prepare agendas and minutes of meetings 
  • Prepare departmental invoices
  • Schedule and organize projects
  • Organize and maintain data storage
  • Order and store supplies and assist with asset inventory
  • Process purchasing orders and maintain purchasing log 
  • Maintain calendar for IT leadership and coordinate department celebrations
  • Ability to effectively work both within a team structure and independently, using personal initiative  
  • Maintain open availability including occasional evenings/weekends and the ability to commute between Chicago city/suburban locations in a timely manner
  • Proficiency in the use and operation of all necessary tools and equipment including MS Word and Excel
  • Perform special projects and assignments as requested
